How many are attending?
Did you do this same event last year – What was the best thing about it, what was the worst thing?
If you have attended other events what did you like about them? What did you dislike?
Was the music too loud? Was it too low?
Was the space too big for the amount of people? Was it too small?
Theses are just a few questions to ask yourself to get the ball rolling. We wouldn’t want anyone to be overwhelmed when planning their event. Theses are just a few simple questions to help your process and planning be more smooth and efficient.
Now that you know how many you want in attendance, how long your event will be, and what kind of space you need… Set a date and go for it. Once you know your date. Time to set your budget, make calls, get pricing, and book everything you need including the entertainment!
Who is your crowd? Is your crowd going to be mostly Latin? Mostly white American? African American? Europeans? Asian? The list goes on and on, or will it be a large mix of cultures and diversity?
Are families attending or is it going to be all adults?
Is this for friends? Family? A Corporation?
What specific memories do you want people to take away from this? What do you want your crowd to experience and feel when they leave and tell their friends about it?
Would you like them to just have an amazing time? Or lots have fun? Are you trying to WOW them with something unique?
Is it’s a birthday party with a flash mob? – what memory do you most want someone to have?

The most talked about and memorable events have had amazing music that matched the crowd or demographic of the people attending. EVERYBODY loves a good beat – and as we know here is south Florida, Latin people love to dance to Latin music. On a different note, a corporate event for people from the midwest will most likely want a country beat; more urban crowds may want hip hop. Again, everybody loves a good beat. It’s very important to select a genre of music that fits and that people can relate and dance to.
As we mentioned you want to tailor the music you play to or the Dj’s vibe to the crowd that is attending. If you are looking to make amazing memories – music is key to making that happen.
This is something that is another huge part of your event or party. It is important to think about the drinks, ice, and water. Make sure to have plenty of them for both alcoholic and other beverages, as well as water for hydration.
When drinks, ice or water run out, people will run out or your party! So stay supplied with plenty of ice, plenty of drinks, and plenty of water that will last the duration of your event and for the amount of people attending … plus some extra just in case…
This goes hand in hand with knowing your crowd. Know the kind of food people will eat and be familiar with. In general most people are not going to experiment with new tastes at a party unless that is specifically what the party is for.
Are trying out a new exotic food you just discovered in a far corner of the earth? Your event is not the time to introduce all your friends or coworkers to it.
Just like the music – know what our crowd will eat and be satisfied with. Just like some of the other questions – how long is the event? Will you be serving finger foods just to take the edge off, or will people want a full meal when they arrive? Vegan, Vegetarian, meat eaters? Who is attending?
Decide on the kind of food that will satisfy the crowd and have plenty on hand. Some people may eat a lot, some people will eat very little. The main point is that if people are expecting to eat at your event, expect to feed them!
This also goes back to knowing your numbers – how many are attending … are they bringing their friends? Are they bringing a date?
Another tip when planning to feed your guests is if the food is sloppy or not. Will it be messy or clean. If there are sauces involved for dipping or on the actual food, are there plenty of napkins or wipes available? One of the worst things for the ladies is if they spill some sort of sauce on their brand new designer dress. This is No Bueno. Plenty of food equals a happy crowd. And clean dresses and suits also equals a happy crowd.

Your timeframe is also important. How long do you have to plan and get things together? A month? 3 months? A week? Make sure you can get everything you need done in time and book the entertainment, get the supplies, catering if you are having food, DJ or band, and anything else you need.
Check with your friends or coworkers to make sure your party isn’t on another important event day or date.
